Native CRM sync vs Zapier vs a dedicated tool for offline conversions: how to choose (HubSpot, HighLevel and others)
This comes up in almost every thread, so let me answer it in one place. You have a CRM, and you want its sales to reach your ad platforms. There are three families of answer, and each is right for someone.
Option one: your CRM's own sync. Free or included, quick to switch on, and built by people who know the CRM. It's often exactly enough. The limits depend on the CRM, and they're worth knowing.
HubSpot's own ad conversion events, for example, send lifecycle stage changes to Meta, Google Ads and LinkedIn. According to HubSpot's documentation (checked September 2026), it needs Marketing Hub Starter, Professional or Enterprise, with 5, 50 or 100 events. The triggers are lifecycle stage changes or form submissions, and it doesn't read deal stages. There's no TikTok. Matching needs a Google click ID property or shared contact data.
HighLevel's own Meta action, as another example, only covers contacts that came from a Facebook lead form, or that have a stored fbclid. It's set up per sub-account.
If those limits don't touch you, use the native sync and stop. Genuinely.
Option two: an automation tool like Zapier, Make or n8n. Flexible, works with almost any CRM, and you control the logic. You also own everything: the click ID capture, the hashing, the retries, the dedupe, and the monitoring. One flow per stage per client. It's a fine choice for a small number of clean accounts.
Option three: a dedicated tool. Least to build, and it comes with capabilities the other two don't: click capture on your own domain, matching by click ID or hashed email and phone, deduplication, one setup across several platforms, a delivery log, and options like bot filtering and health-safe events. The trade-off is one more vendor.
How do you choose? A few questions.
How many accounts? One account rarely needs a dedicated tool. Twenty almost always do.
How many ad platforms? If it's Meta only and the native sync covers it, fine. If it's four platforms, one place beats four setups.
How many CRMs? If clients use different CRMs, a webhook receiver gives you one pattern instead of many.
Does the native sync skip leads? Compare your CRM's won deals against what reaches the platform. If the gap is big, that's your answer.
How would you know if it broke? If the honest answer is "a client would tell me", you need visibility.
Here's a five-minute scorecard. Give yourself a point for each yes. Do you have more than five clients or accounts? Do you use more than one ad platform? Does your CRM's own sync skip some leads? Do you want to know when a send fails? Do you work in a sensitive category, like health? Do you have fake leads reaching your stages?
Zero or one: the native sync is probably enough. Two or three: a tool like Zapier plus discipline could work, if someone owns it. Four or more: a dedicated tool will save you more time than it costs.
It's not a scientific test. It's a way to turn "I'm not sure" into a decision.
