Three ways to get a CRM sale into an ad platform
Every lead business ends up choosing between the same three options for offline conversions. Use the sync your CRM already has. Build the flow yourself in Zapier, Make or n8n. Or use a dedicated tool. None is wrong. The right one depends on how many platforms, accounts and CRMs you have, and on who will be fixing it when something stops.

Option 1: native CRM sync
Many CRMs have a built-in way to send events to Meta or Google. It is free, it is already there, and for a single account on a single platform it can be perfectly good. The limits are coverage, platforms, setup per account and visibility.
For example, HighLevel has its own action that sends events to Meta, and it covers contacts who came from a Facebook lead form or who have a stored fbclid. A lead from your website form or a phone call, with no stored fbclid, is outside it. HubSpot's own ad conversion events, per HubSpot's documentation checked in September 2026, cover lifecycle stage changes only, need Marketing Hub Starter, Professional or Enterprise with 5, 50 or 100 events, and do not cover TikTok. These are limits of those tools, not judgements on them.
- Good for: one CRM, one or two platforms, contacts that arrive through the CRM's own forms.
- Watch for: coverage gaps for leads from other sources, setup repeated per account, and little visibility when an event is dropped.
Option 2: Zapier, Make or n8n
An automation tool gives you the most freedom. A trigger fires when a deal moves stage, and a step posts to the ad platform. You can send any stage, from any CRM, with any rule. For a technical team with a few flows, it is a strong choice.
The price of that freedom is that you own everything. You hash the email and phone correctly. You keep the click ID from the moment of the click until the deal closes, which is the hard part. You handle duplicates, so one sale is not counted twice. You handle retries when the platform is down, and you watch for silent failures. Meta rejects events sent more than 7 days after they happened, so a Zap that stalls for a week quietly drops sales. Each of those is small. Together they are a job.
Option 3: a dedicated tool
A dedicated tool does the awkward parts for you: it keeps the ad click, hashes contact details, matches each stage, sends to several platforms, retries and shows a log. The cost is another subscription and another vendor. It earns its place when you run several platforms or accounts, when leads come from more than one source, or when you need to show what was sent and why.
Be careful here too. Ask any vendor what it does not send, whether it shows failures per row, and how much of your setup you can leave behind if you switch.
A six-question scorecard
Answer these for your own business. Count the yes answers to the questions that describe you, then read the result below.
1. Do your leads come from more than one source, such as forms, calls and chat? 2. Do you advertise on more than one platform? 3. Do you manage more than one account or client? 4. Do you need to keep the ad click for weeks, past Safari's 7-day cookie limit? 5. Do you need to see, per sale, whether it was sent and why not? 6. Is there nobody on the team whose job is to fix a broken flow?
0 to 1 yes: native sync is probably enough. 2 to 3: a hand-built Zapier flow works if someone owns it. 4 to 6: a dedicated tool will likely cost less than the hours you would spend.
When native is enough: use it and stop
If you have one CRM, one platform, one account, leads that come through the CRM's own forms, and someone who checks the events now and then, use the native sync and stop reading. Do not pay for a second tool to solve a problem you do not have. Check once a month that events still arrive, and move on.
You should look again if you add a platform, if the platform's match rate falls, or if you find leads that never appear.
