Firms want ads that bring clients, not form fills, without passing on what clients tell them. DataCops sends consultation booked and retained back to Meta and Google Ads with hashed email or phone and the ad click, and nothing about the matter.

Why professional services need a careful approach

Law firms, accountants and financial advisers buy ads like everyone else, and they have the same problem: the form fill is not the client. A person who fills in a form about a tax problem might never book. A person who books a consultation might never sign. The ad platforms only see the first step unless you tell them about the rest.

The difference is what you are allowed to say in the telling. What a prospective client shares with a firm can be private, sometimes protected by professional duty. So the design of this page is simple: send the smallest signal that does the job, and nothing that describes the matter.

The two stages that matter: consultation booked and retained

For most firms two stages carry almost all the value. 'Consultation booked' means a real person agreed to a real time. 'Retained' means they signed an engagement letter and became a client. Everything else is either too early to trust or too late to be useful.

If you can only send one, send consultation booked. It happens often enough to teach a campaign, and it is far better than a form fill. Add retained once you have a steady number a month. If you have a value for the engagement, such as a fixed fee or a first-year estimate, it can travel with the retained event. Lost, no-show and cancelled are never sent.

Example, made up

An accountancy practice gets 40 form fills a month. Fourteen book a consultation and five sign an engagement letter. Sending consultation booked gives the campaign 14 signals a month instead of 40 noisy ones, and the practice can still count the 5 retained clients in its own monthly review.

What must never be sent

Keep this rule on the wall. Matter details never go to an ad platform. That means the type of case, the facts a client told you in confidence, names of other parties, amounts in dispute, diagnoses of their financial position, and anything typed into a notes field. None of it is needed to match a conversion.

What is needed is small: an event name such as 'consultation booked', a hashed email or hashed phone, and the ad click ID. That is all the platform needs to connect the event to the person who clicked. Do not put the practice area in the event name either. Use neutral names.

DataCops has a Health mode that shows the shape of this approach: page links cut to the domain, neutral event names, hashed email and phone, and anything that could describe health left out. It is on every plan. The same habit is worth copying for legal and financial work, and it is worth checking the setup for your firm yourself.

  • Send: event name, hashed email or phone, the ad click ID, and optionally a fee value and currency.
  • Never send: matter details, facts told in confidence, names of other parties, case notes, free-text fields.
  • Check: that no CRM field with sensitive text is mapped into the webhook post.

An intake checklist that keeps it clean

Most leaks are not deliberate. They happen because a workflow copies a whole contact record. A short checklist prevents it.

1. Give your intake form only the fields you need: name, email, phone and a general enquiry type chosen from a short list. 2. Keep free-text descriptions in your case system, not in the marketing tool. 3. Map only the event name, email or phone, and value into the webhook. 4. Use one consent notice on the form that says what you send to advertisers. 5. Test with a fake enquiry, using the test flag, and read the delivery log to confirm what left. 6. Review it every quarter, and after any change to the intake form.

The trust angle

Clients of a law firm or an accountant are handing over something private. The most useful thing marketing can do is not to make that handover feel risky. DataCops runs from your own subdomain, hashes email and phone before they go to the ad platform, and includes a first-party consent manager that supports IAB TCF v2.2. It is worth telling clients plainly, on the intake page, what you do and do not share.

A short sentence works: 'We tell advertising platforms that an enquiry led to a consultation, using a scrambled version of your email. We never share what you tell us.' It costs nothing and it is true only if your setup matches it, so check that first.

Long cycles and the 90-day Google window

Professional services close slowly. A probate matter, a business sale or a tax review can take months between the first click and the signed letter. Google Ads ignores uploads more than 90 days after the click, and DataCops keeps click IDs for up to 90 days. If a retained event arrives on day 120, it cannot be matched on Google.

The fix is to send an earlier stage. Consultation booked usually lands well inside 90 days and still says the lead was real. Use retained for your own reporting, and for platforms where the window is not the problem. For leads captured with hashed email or phone, Google also accepts enhanced conversions for leads, with a 63-day window. Meta rejects events more than 7 days after they happened, so send each stage the day it happens.

A note on advertising rules

Legal, accounting and financial advertising is regulated, and the rules differ by country, state and professional body. What you may say in an ad, how you may target, and what you may pass to a third party is your responsibility as the advertiser, and DataCops does not give legal advice. Ask your regulator or your compliance adviser about your own setup before you switch anything on.

What DataCops can do is keep what leaves your systems small and visible. Every send is logged per row as sent, held, skipped or failed, with the reason, so you can show exactly what went out.

What DataCops does, and what it does not

It keeps the ad click on your own domain for up to 90 days, matches each stage to that click or to hashed email and phone, sends to Meta, Google Ads, TikTok and LinkedIn, and logs the result. Any CRM works through the private sales webhook, directly or through Zapier, Make or n8n; HighLevel is native.

It does not decide what is safe to send for your profession, and it cannot see your CRM fields for you. There is no native Salesforce or Pipedrive app. LinkedIn matches on hashed email, li_fat_id or name plus company, and does not match on phone. Microsoft Ads is not supported. Sales from your CRM carry no bot check.
